This position is appointed by the President and the Fundraising Chair acts as a non-voting member of the BC Branch Executive.

The Chair will:

  • Assume responsibility for the “Terms of Reference”.
  • Review the recommendations from the previous year’s Chair.
  • Sit as a member on BC Branch Executive Council and Programs Committee.
  • Attend the Branch Annual General Meeting and all corresponding meetings to which this position sits.
  • Attend all BC Branch educational events or arrange for an alternate council member to be in attendance.
  • Provide the Executive Committee, Finance Committee and Programs Committee with progress reports at each of their respective meetings (such as monies received, and monies promised).
  • Liaise with Sponsor Representatives, Awards Chair, Communications Officer, Programs Chair and Treasurer.
  • Assist the Incoming Chair, with respect to responsibilities, when the term of office is completed.
  • As outgoing Chair, thank sponsors for their support and notify them of the new Incoming Chair.

Duties:

  • Maintain levels of sponsorship and terms of sponsorship.
  • Maintain general sponsorship letter.
  • Solicit funds from sponsors and keep them informed of events throughout the year.
  • Maintain fundraising database.
  • Send “Thank you” correspondence upon receipt of sponsorship for Branch.
  • Forward cheques received to Treasurer.
  • Liaise with Programs Chair to update event sponsorship recognition.
  • Liaise with Communications Officer to update website sponsorship recognition (i.e. Provide company logos and direct links to website).
  • Submit a “Fundraising Update” for the quarterly Branch Newsletter.
  • Solicit funds for the booth sponsorship for the branch Annual General Meeting.
  • Maintain sponsorship letter for Annual General Meeting booths.
  • Liaise with Programs Chair and Programs Committee to arrange manufacturer/sponsor booths, exhibitors’ passport, and booth door prizes.
  • Encourage CSHP members to act as CSHP-BC ambassadors and promote opportunities for Branch sponsorship by connecting potential sponsors with Fundraising Chair.
  • Notify Programs Chair of names of Major Benefactor representatives to whom complimentary registrations are to be issued to prior to the early-bird deadline of each branch event.
  • Liaise with Awards Chair to arrange for award sponsor representatives to be present for award presentations.

  • Sponsors are mentioned on the brochure/intro slide at all events sponsored.
    • If the event sponsored is the AGM, and the amount donated only covers fee for display booth, they will not be mentioned on the branch website as sponsors.
  • Event registration fee for company representatives.
    • All events except AGM: Any company representative, except for Major Benefactors, must purchase a registration at the current non-member rate for CSHP-BC events.
    • AGM:
      • For sponsors who are not Major Benefactors and do not sponsor the AGM through a booth, must purchase a registration at the current non-member rate for CSHP-BC events.
      • For company representatives who hold a booth at the AGM, who are not Major Benefactors, must purchase registration fee for the event at member rate.
      • For Major Benefactors who purchase one or more additional booths at AGM, additional representative must purchase registration at the current member rate.
  • Manufacturers’ Displays
    • No minimum B.C. Branch contribution is required for a sponsor to participate in the AGM manufacturers’ displays; all major benefactors will be offered a complimentary booth at Spring Therapeutics Update (STU) and AGM.
    • For non-major benefactors, display booths cost $1000 for the duration of AGM.
    • The display space will be assigned by the Programs Committee on a first come first served basis, with priority given to Major Benefactors, Benefactors, Patrons, Sponsors, and Supporters.
    • If display space cannot be accommodated, the manufacturer should be contacted to see if the contribution can be used for general sponsorship.
  • Solicitation of funds/sponsors
    • The Fundraising Chair is responsible for organizing and encouraging for solicitation of funds.
    • Fundraising Chairperson is to provide and forward a contact list of company representatives’ most current addresses. Updates will be forwarded by the Fundraising Chairperson to Programs Chair as needed.
    • Sponsorship cheques are sent to the Treasurer for deposit.
    • A list of corporate sponsors is prepared for each event.
    • An accurate financial statement of fundraising income is maintained by the Treasurer.
    • Fundraising Chairperson to provide a list of company representatives attending CSHP-BC events to Programs Chair no later than 3 days after the early bird deadline of each event.
  • Fundraising Email
    • The fundraising team is encouraged to use the CSHP Branch fundraising email for communications in order to ensure continuity and centralization of fundraising efforts.
